The present Secretary is stepping down and we will be appointing a new Secretary.

The position is a contract position and is paid by way of an agreed Annual figure paid as negotiated with the appointee.

The Secretary serves the Executive and the membership and works in close liaison with the Administration Officer. A reasonable degree of competence in MS Word, Excel and the efficient use of email is required. There is opportunity for the new appointee to bring other skills to the position.

The position is one that is worked from home. FMC will supply a laptop if required. Applicants need not live in Wellington (though this can be an advantage) and must have good access to, and confidence in using, the Internet. The workload is variable – it might be 15 – 20 hours in one week and almost nothing in other weeks. Applicants would be required to attend the meetings of the Executive.

JOB DESCRIPTION (SUMMARY)

  1. To service the Executive. Including but not exclusively:
    • Organising Exec meetings including agendas & minutes and preparing reports for the Executive as required.
    • Attending all Executive meetings
    • Managing all correspondence and ensuring replies / submissions go in on time.
    • Maintaining electronic files of all correspondence / statistics / submissions.
  2. To organise the AGM in conjunction with the President. Includes ensuring all procedures are followed in relation to notice of meeting, agenda, rule changes, voting rights, delegates & Minutes. The Secretary is expected to attend the AGM.
  3. Liaise with Clubs in conjunction with the Administration Officer . Includes mailouts to clubs
  4. Coordinate production of publicity material (other than the Bulletin). The Secretary may not actually write or do the technical design of the material but would manage the overall process.
  5. To be Secretary of FMC Mountain & Forest Trust.
  6. To be supportive of the objects of FMC and willing to contribute as required to helping FMC attain its objectives

CONTRACT REMUNERATION

It is understood the remuneration is not based on an hourly rate but is an annual figure which takes into account the work required and a voluntary contribution from all people who contribute towards the work of FMC.

It is estimated that the Secretary would work for around 600 hours per year with 60% of the work required between February and May and 40% of the work between June and following January

To be negotiated but will be in the range $4000 to $7000 per annum and will be paid pro rata at such time intervals as agreed. No specific holidays are negotiated but it is expected that between February and December the Secretary would be available 5 days a week though breaks of up to 2 consecutive weeks would be acceptable.
